Advisors and advisees on Schoology

The Advisor/Advisee tool allows faculty members with advisor access to monitor their advisees’ enrollments, grades, attendance, and schedule.

System administrators automatically have advisor access to all users within their school or building.

You can grant advisor access in one of two ways:

  • Enable Advisor Access for an entire role, giving all users in that role access to all students in their school or building.

  • Create advisor and advisee pairings, giving advisors access only to assigned students. Pairings can be created individually or imported in bulk.

Advisors dashboard

Advisors can access the Advisor Dashboard from Tools in the header. The dashboard provides access to student information, including:

  • Enrollments

  • Calendar events

  • Attendance

  • Grades

The Summary tab displays:

  • Current course enrollments

  • Group memberships

  • Upcoming assignments and events

  • Current course grades and attendance

  • Past course grades and attendance

Search for an advisee

Searches require at least two characters from both the student's first and last name. Use one of these formats:

  • First two letters of the first name, followed by a space and the first two letters of the last name

  • First two letters of the last name, followed by a space and the first two letters of the first name

  • Last two letters of the first name, followed by a space and the last two letters of the last name

  • Last two letters of the last name, followed by a space and the last two letters of the first name

If a search returns more than 10 results:

  • Enter additional characters.

  • Search by email address, username, or unique ID.

Student view

Students can view assigned advisors from Your Profile. Advisors appear in the student's contact information.

To display advisors, a system administrator must enable the View user advisors permission for students.

Activate advisor access

System administrators have advisor access by default. This permission cannot be disabled.

You can activate the advisor access permission for a role to give all users in a particular role advisor access to all students.

  1. From Tools, choose User Management.

  2. Select Permissions.

  3. From Administration Settings, select Advisor Access for the desired role.

  4. Click Save Permissions.

Creating advisor and advisee pairs

Create advisor and advisee pairs when advisors should have access only to specific students.

  1. From Tools, choose User Management.

  2. Select Parent/Advisors.

  3. Search for the student who will act as the advisee.

  4. From Parents/Advisors, click Advisor.

  5. Enter the name of the staff or faculty member who will act as the student’s advisor.

  6. Click Save Changes.

Importing advisor and advisee associations

You can import advisor/advisee associations in bulk or via SFTP. Before importing, prepare a two-column file containing advisor unique IDs and student unique IDs. Each row should represent one advisor/advisee pair.

  1. From Tools, choose User Management.

  2. Select Parent/Advisors.

  3. Select Options and choose Import.

  4. Select Advisor.

  5. Upload your CSV file.

  6. Map the advisor and student unique ID columns.

  7. Click Preview to review the associations.

  8. Run the import.
