Use exceptions in the gradebook

Overview

You can add an exception to any assignment, discussion, assessment, test, or quiz in your Schoology gradebook to denote that a student's submission is absent, collected, exempt, incomplete, missing, or late. Review the Exception type details table more more information.

Exception type details

Exception type

Description

Gradebook impact

Absent

The student was absent during the submission

No impact

Exempt

The student was excused from the assignment

No impact

Incomplete

The student submitted incomplete work

No impact

Late

The student submitted the assignment late

No impact

Missing

The student did not submit the assignment

Treated as a zero

Collected

Submitted but not yet graded

No score is recorded until graded

  • Course administrators can disable the scoring of missing assignments as zeros by changing the Disable automatic scoring of missing exceptions as 0 setting in Grade Setup.

  • If you change this setting after grades are entered for a course, it will affect all graded assignments for that course that have been marked as Missing.

Exceptions with overdue items

  • Absent, exempt, late, and collected exceptions remove the item from a student's overdue notifications.

  • Incomplete does not remove overdue notifications.

Possible scenarios

Scenario

Exception type

Student impact

I accept late submissions but don’t want them reflected in the student’s grade.

Incomplete

The student will continue to receive overdue notifications but no grade penalty.

I do not accept late submissions.

Missing

The student will receive a zero grade and no longer receive overdue notifications.

I no longer accept submissions but don’t want it reflected in the student’s grade.

Excempt

The student will continue to receive overdue notifications but no grade impact.

Add exceptions

Students can still make submissions to an item with an exception code entered. You will continue to receive the same new assignment notifications.

  1. Navigate to a course and select Gradebook.

  2. Hover over the gradebook cell and click the flag icon.

  3. Select an exception. The corresponding icon will appear in the cell for the student's submission.

  • Entering a score on a Collected item automatically clears the flag. For other exceptions, remove the flag before entering a score.

  • If an exception is added after a score is entered, the score will be cleared.

  • If Collected exception codes are unavailable for your district, contact Support to request them. These codes will mark the status as Submitted with a score of zero in some SIS integrations.

Remove exceptions

  1. Navigate to a course and select Gradebook.

  2. Click the exception icon in the gradebook.

  3. Click the exception to clear it.

If entering a score for an exempt, incomplete, collected, absent, or late item, the flag is automatically removed.

Lock assignments

Lock an assignment to prevent students from making further submissions.

  1. Navigate to the course.

  2. Click the material’s gear icon and select Edit.

  3. From Advanced, click the lock icon to prevent future submissions.

Exceptions with auto-graded tests and quizzes

If a student completes an auto-graded test or quiz after an exception was added, accept the auto-generated grade and override the exception directly from the grade book cell. A test with an override available is noted in the grade book cell with a black dot on the test icon.

To clear the exception and accept the test score, click the test icon. Then, select Update Grade. Select Keep Override to clear the new grade and remove the black dot from the test.

Select View Submission to open a new browser tab and review the student's test.

Exempt exception with student completion (enterprise)

Use the Exempt exception to bypass materials on which you have set up student completion requirements. For example, if a student is absent and makes up a required assignment with a different make-up project, or a student is new to class and doesn't need to start at the beginning of a folder with completion rules.

Sync exceptions to my SIS gradebook (enterprise)

  • Collected assignments only pass back the Collected exception if supported by your SIS integration; otherwise, they will pass back an empty column with no grades.

  • To ensure your students' grades in Schoology match your SIS, configure your SIS to treat blank cells as null values, not zeros.

  • For SIS apps using the IMS Global OneRoster standard, each SIS handles OneRoster statuses differently. Contact your SIS support for details on how it works in your system.
