Early Warning Admin

Use the Early Warning Admin page to customize and configure your district's Early Warning System indicators.

The fields that are used to define the rules for an indicator are determined by the category and indicator rule type.

  • Early Warning indicators created for categories are available as options in Baseball Card and Student Filters.
  • After adding or updating an indicator, the site requires a full build before the updates are reflected in reports and filters. You cannot generate an indicator until at least one student meets the indicator's criteria.

Display Early Warning Indicators for a Category

  1. From the main navigation menu, choose Admin, then Early Warning Admin.
  2. Select a tab to display its list of categories.

  3. Click to select a category.

Add Indicators

  1. Navigate to Early Warning Admin, then select a category.
  2. Click Add Indicators.
  3. Enter the label that users will select to use this indicator in a report or filter.

  4. Select or enter the required information for each field.
  5. Optionally, enter the time frame for the rule.
  6. Optionally, enter the time frame for the data measures to display to users.
  7. Click Add or Add and Create Another.

This is used for manual, periodic updates - primarily for updating historical years. Ideally GPA would be sent in Student File.

Find students who have been retained at least the indicated threshold between indicated school year and end school year.

Retained from Previous Year field must be sent.


Student_Retained_Update

This is used for manual, periodic updates - primarily for updating historical years. Ideally, "Retained From Previous Year" would be sent in Student File.

Academics- State Testing

Find students with specified achievement levels in indicated state test results for the indicated school year.

Academics - Local Testing

Find students who scored below the threshold value for Performance Matters created assessments.

Multiple Warnings

Find students who are flagged for at least the designated threshold values for other Early Warning categories.

Use Select the categories you want to target with this indicator to limit the categories to be considered in the threshold count. You can select multiple categories. Select All to include all categories.

Edit Category and Indicators

  1. Access Early Warning Admin and Select a Category.
  2. To edit the category title, click Edit next to the title. After you make changes, click Update.
  3. To edit rules for an indicator, click Edit. After you make changes, click Update.

Updating the Category Label also updates the Baseball Card data measure folder label. To update the Filter Label go to Filter Security in Site Administration.

Additional Information

Course Level vs. Period Level Absence Events

For districts that want to target Course Level and Period Level Attendance Data, there are two options:

  • Option 1: Load two separate files, one for daily attendance and one for period-level attendance. The daily attendance continues to process as the current one does and displays in Student Detail and populates the attendance rate filter. The period-level file is loaded into a separate table and uses the period-level or course-level absence events filter to populate the early warning filters based on period-level attendance.
  • Option 2: Extend the attendance codes for the period level attendance to include the period (for example, change X to be X_03). Period level codes are identified and excluded from the attendance Early Warning System category rules if necessary.

Behavior vs. Behavior by Incident

Behavior includes any discipline record where Behavior by Incident focuses on unique discipline incidents.

  • For Behavior, the Discipline file records unique referral IDs.
  • For Behavior by Incident, the Discipline file records unique referral and unique incident codes.

For example, a Dress code (referral code) and Insubordination (referral code) are all captured as one incident.

Roll Over Impact

A roll over has the following impact:

  • Existing indicator rules are preserved with the roll to the new school year.

  • District administrators must navigate to Early Warning Admin after their new site is available and update dates for each indicator rule.
  • The previous year's Early Warning System indicators are part of archive snapshots and are available in Baseball Card.
  • The current year Early Warning System Indicator folder populates only after at least one student triggers an indicator rule for the new school year.
