Early Warning System

To set up the Early Warning System (EWS) filters, a district has to include data in its daily deliveries for attendance, discipline, enrollment, and course marks. The district must also set the rules that determine when a student should appear in a particular EWS report.

Filters

Attendance

  • Absence Events is based on the number of absence events sent in the attendance file.
  • Course Level Absence Events offers the ability to break down absences according to the course codes used in the attendance file.
  • Period Level Absence Events offers the ability to break down absences according to the period codes used in the attendance file.
  • Attendance Rate is based on the number of absence events/total number of days enrolled according to the attendance codes used in the attendance file.
  • Truancy Events works the same as Absence Events but offers districts a way to separate unexcused from excused absences.
  • Truancy Rate works the same as Attendance Rate but offers districts a way to separate unexcused from excused absences.

Discipline

  • Behavior is based on the number of discipline events sent in the discipline file.
  • Behavior by Level allows you to break down behavior according to the discipline codes used in the discipline file.
  • Behavior by Incident allows you to break down behavior according to the incident codes used in the discipline file. (One incident code can include multiple discipline codes.)

Enrollment

  • Mobility is determined by the number of times a student un-enrolls and re-enrolls in schools in the district.
  • Retained is determined by a student's grade level last year compared to this year. This report can be presented historically for as many years as the district sends data.

Grades/ Scores

  • Course Failures are based on total courses failed by the student.
  • HST Course Failures is based on total courses failed by the student for courses tied to high stakes tests such as math and language arts.
  • GPA Target is based on overall student GPA.
  • Academics - State Testing is determined by achievement levels for state-administered tests.
  • Academics - Local Testing is determined by achievement levels for tests created in Performance Matters.

Multiple

  • Multiple Warnings is a filter defined by the district to identify students who are at risk in more than one of the above areas.

Access EWS Filters in Reports

Early Warning Indicators filter options are available in a variety of reports in Performance Matters including Student Item Analysis, Student Detail, MyDashboard, Scoreboard and Baseball Card.

Filters for Student Item Analysis, Scoreboard, and Baseball Card

Student filters are the same in Student Item Analysis, Scoreboard, and Baseball Card.

  1. Select Reports from the main navigation menu.
  2. Choose a report.

    • For Student Item Analysis, select Additional Filters.
    • For Scoreboard and Baseball Card, skip to step 6.
  3. Click Add Student Filter.
  4. Click the Early Warning Indicators tab.
  5. Choose a filter category and select the filter.
  6. Click Apply.

Scoreboard

Early Warning Indicators can be used as data comparison points. To view EWS data side-by-side, expand the Early Warning Indicators folders, and select the desired filter rules.

For example, if you select YTD attendance rate <90% and Referral events >5, then select Hide rows without scores, you can see EWS data points for the district, schools, teachers, and students who meet both of these early warning indicators.

Baseball Card

Early Warning Indicators can be used as data comparison points. The data measures populate only when there are students triggering the rule in place. To view EWS data side-by-side, expand the Early Warning Indicators folders, and select the desired filter rules.

For example, if you select YTD attendance rate <90% and Referral events >5, then apply zero suppression swatching, you can see all students who meet both of these early warning indicators.

Student Detail

  1. Select Reports > Student Detail from the main navigation menu.
  2. In the Student Detail tab, you can review any Early Warning Indicators that the student has triggered in the Early Warning Indicators panel.

MyDashboard

  1. From MyDashboard, select the school and then the teacher.
  2. Click the EWS filter to view students who have triggered Early Warning Indicators.

Saved Filters

Student filters allow you to adjust the student population included in a particular view of a report. You can apply any number of standard or district-customized filters. Some reports allow you to use saved filters that are available in the student filter.
