Item source-bank

Use item sources and item banks to group and store items and resources. One item source can contain multiple related item banks.

Create an item source

  1. From the navigation menu, choose Items, then choose New Item Source.
  2. Choose Private or Shareable:
    • Private limits access to the item source and its contents to the organization that created it, even if they share with trusted organizations.
    • Shareable allows other trusted organizations to use the item source.
  3. Enter the item source Name and Description using your district's naming convention.
  4. Click Save, then click Continue to Edit.

Add item banks

You can either add item banks after creating an item source, or you can use the global search to find an existing source.

Add item banks to an existing source

  1. Click the global search icon.
  2. Select Item Source under Type.
  3. Enter search criteria and press Enter.
  4. Click Edit for the desired item source.
  5. Click Add Item Banks.
  6. Enter the new item bank's Title and Description using your district's naming conventions.
  7. Click Update, then click Continue to Edit to add the banks to the item source.

Create an item source and add item banks

  1. From the navigation menu, choose Items, then choose New Item Source.
  2. Select either Private or Shareable:
    • Private limits access to the item source and its contents to the organization that created it, even if they share with trusted organizations.
    • Shareable allows other trusted organizations the ability to use the item source.
  3. Enter the item source Name and Description using your district's naming convention.
  4. Click Save, then click Continue to Edit.
  5. Enter the new item bank's Title and Description using your district's naming conventions.
  6. To add another bank to the source, click Add Item Banks.
  7. Click Update, then click Continue to Edit to add the banks to the item source.

Add item banks to an existing source

  1. Click the global search icon.
  2. Select Item Source under Type.
  3. Enter search criteria and press Enter.
  4. Click Edit for the desired item source.
  5. Click Add Item Banks.
  6. Enter the new item bank's Title and Description using your district's naming conventions.
  7. Click Update, then click Continue to Edit to add the banks to the item source.

Assign permissions for sources and banks

It is important to set the correct permissions for item sources and item banks. These permissions are the basis for verifying blueprints and working with item assignments, items, resources, and tests. You need permission for the necessary item sources and banks to perform these tasks.


You can assign permissions while creating sources or banks, or you can assign permissions to existing sources or banks.

Permissions set for an item source also grant the same level of permissions to all of its item banks.

Permissions set for an item bank apply only to that item bank and provide no permissions to its item source.

Permission levels for item sources and banks

  • You can clear lower-level permission levels (for example, Read or Copy) while maintaining higher-level permissions (for example, Author).
  • You can also choose to exclude a permission level. For example, you can assign Read, Author, and Update permissions to a role but choose to exclude Copy permissions.

You can choose from these permissions levels for item sources and banks:

  • Read - Users can display the item source or item bank.

  • Copy - Users can copy items in this item bank or this item source's banks.

  • Author - Users are granted permission to:
    • Display the item source or item bank.
    • Assign work orders to item banks.
    • Author items and resources for item banks. Authors can update their items until items are submitted and accepted.
  • Update - Users can edit this item source or item bank. Users can also update items in item banks after being submitted by an author and until saved on a test.
  • Admin - Users are granted Author and Update permissions, in addition to the ability to delete and assign permissions for the item source or item bank.

Add permissions while creating sources or banks

  1. Follow the steps to create an item source or to add an item bank.
  2. Click the Permissions button in the header (A) to set permissions for the item source. Alternatively, click Permissions for an item bank (B) to set permissions for that bank.

  3. Add users or groups to the source or bank.
  4. Select the desired read, copy, author, update, or admin permission for each user or group.
  5. Click Save.

Add permissions to an existing bank

  1. Click the global search icon.
  2. Select Item Bank under Type.
  3. Enter search criteria and press Enter.
  4. Click Edit on the desired item bank.
  5. Click Permissions.
  6. Add users or groups to the source or bank.
  7. Add more users as desired.
  8. Select the desired read, copy, author, update, or admin permission for each user or group.
  9. Click Save.

Add permissions to an existing source

  1. Click the global search icon.
  2. Select Item Source under Type.
  3. Enter search criteria and press Enter.
  4. Click Edit on the desired item source.
  5. Click Permissions next to Update.
  6. Add users or groups to the source.
  7. Select the desired read, copy, author, update, or admin permission for each user or group.
  8. Click Save.

Move an item to a different bank

If you have author permissions for a bank, you can move an item to another item bank for which you also have author permissions. The moved item inherits the permissions of the destination bank.

Site administrators have the option to complete bulk actions when managing items and banks. These bulk actions include the ability to:

  • Move items in bulk from one bank to another bank
  • Consolidate multiple banks into one bank
  • Move banks in bulk to another source

Select the Available for Bulk Actions filter to identify content eligible to be managed in bulk.

  1. Click the global search icon.
  2. Select Assessment Item under Type.
  3. Enter search criteria and press Enter.
  4. Click Move on the desired Item.
  5. Select the destination Item Source then the destination Item Bank.
  6. Click Move.

Resources associated with the item being moved:

  • Move to the destination bank if they are in the source bank and have no other item associations
  • Do not move if they are in the source bank and are associated with any other items
  • Do not move if they are not in the source bank

In all cases, the moved item retains its resource associations.

Move all items to a different bank

If you have author permissions to a bank, you can move (merge) all of its content to another item bank for which you also have author permissions. The items merged inherit the permissions of the destination bank.

  1. Click the global search icon.
  2. Select Item Bank under Type.
  3. Enter search criteria and press Enter.
  4. Click Move on the desired Item Bank.
  5. Select the destination Item Source then the destination Item Bank.
  6. Click Move.
  7. Confirm to move the content.
  8. Confirm if you want to reload the page.

When moving all items from a source to a destination bank, each resource is checked for its associations:

  • If a resource is only tied to items in the source bank, it is moved to the destination bank.
  • If a resource has an association outside of the source bank, it is moved to the destination bank and all items that use the resource are updated to reference it in the destination bank.

This enables the source bank to be deleted without breaking resource associations.
