Moving student grades from one section to another

Overview

When students move from one section to another, instructors and system administrators may need to recover their grades from the previous section and move them to the new one. The process differs depending on whether using the enterprise or basic version.

Enterprise

When a student moves to another linked section, their grades are automatically transferred. As a safeguard, export the grades before moving the student.

Manually recover and move student grades

  1. Re-enroll the student in the old section.

  2. Export the course’s gradebook.

  3. Add grades to the new section.

Re-enroll the student in the old section

If you can’t re-enroll students, your System Admin must complete re-enrollment.

  1. Navigate to a course and select Members.

  2. Click Add Members.

  3. Select the students to re-enroll.

  4. Click Add Members.

Alternatively, re-enroll the student from the Inactive Members area.

  1. Navigate to a course and select Members.

  2. Select Inactive.

  3. Click the gear icon for the student.

  4. Select Re-enroll.

Export the gradebook

  1. Navigate to a course and select Gradebook.

  2. Click the more menu icon and select Export.

  3. Select Gradebook as CSV. This spreadsheet will include a row for each student, with material titles as column headers.

  4. Click Next. The CSV will automatically download.

Add grades to the new section

Use one of the following options:

  • Manually enter grades into the new section's gradebook.

  • Use the Import feature in the gradebook to add the gradebook CSV file from the old section.

  • Students must be enrolled in the new course before import.

  • Do not delete the header row in the CSV.

  • Remove the rows for students you do not want to add to the new section from the CSV.

Import grades: Match columns

If you import the CSV into the new course's gradebook, you must match the fields from the exported CSV to those in the gradebook.

  1. From the student's new course section, select Gradebook.

  2. Click the more menu icon and select Import.

  3. Click Choose File and select your CSV file.

  4. Click Upload File.

  5. Match the columns from your CSV file to the gradebook fields. Refer to the Gradebook field details table for more details.

  6. After matching the Unique User ID and Assignments, leave the other fields blank, and click Preview.

  7. Review the Student, Assignment, and Grades for import and click Confirm.

Basic

Instructors using Schoology Basic cannot move a student from one class to another. Instead, instructors can distribute the access code for the new course to the students to enable them to join.

Export the course's gradebook

Export the student's grades from the original course.

If you have already unenrolled the student, distribute the access code to the student so they can join again and you can recover the grades.

  1. Navigate to the student's course and select Gradebook.

  2. Click the more menu icon and select Export.

  3. Select Gradebook as CSV. This spreadsheet will include a row for each student, with material titles as column headers.

  4. Click Next. The CSV will automatically download.

Distribute the access code

Distribute the 13-digit access code found on the course profile and the Members page.

The student can use the Access Code to join your course.

Add grades to the new section

Locate the student's grades from the export file and manually input the grades into the new course gradebook.

To add grades directly from your gradebook, click the corresponding cell and enter the grade.

Use the Tab key to move between rows and columns.

Remove the student from the original class

  1. Navigate to the course and select Members.

  2. Click the gear icon for the student and select Unenroll.
