System administrators may encounter one of the following error messages when adding a user whose email address is already associated with an existing Schoology account in a different organization:
|
Error message |
When it occurs |
|---|---|
|
The email address entered already exists in the system. |
When manually creating a new account for a user in your organization |
|
The user associated with this email address exists but belongs to a different organization. |
When searching for an existing user to add to your organization |
In both cases, the resolution steps are the same. Use one of the following options to resolve the conflict.
Before you begin, verify that the user's role has the Ability to Merge Accounts permission enabled. Without it, the Merge Accounts option will not be available in the user's Settings. You can enable this by going to Tools, choosing School Management, and then selecting Roles & Permissions.
Merge accounts (user self-service)
Use this option when the user's existing account is from a personal or individual Schoology account or a different organization, and you want to consolidate it with their account in your organization.
Merging an account permanently deletes it from Schoology. The user retains access to all courses, groups, and content from the merged account, but the standalone account itself is removed.
If you haven't already created an account for the user in your organization, create one now with a username and password. Then ask the user to complete the following steps.
-
Log in to the account associated with your organization.
-
Select your profile and then choose Settings.
-
Select Merge Accounts.
-
Enter the login credentials for the individual or conflicting account.
-
Select Validate Account to complete the merge.
Claim domain (admin-managed)
Use this option to prevent users with your organization's email domain from registering for individual Schoology accounts in the future, and to bulk-merge existing conflicting accounts via the Import area.
-
Select Tools and choose School Management.
-
Select Integration.
-
Click Claim Domain.
-
Enter your organization's website URL and follow the prompts to claim your domain.
After your domain is claimed, you can merge existing conflicting accounts in bulk through the Import area of School Management.
Accounts from different organizations (cannot be merged)
If the user already exists in a different organization's account, the previous merge options are not available. Instead:
-
Deactivate and recreate.
-
The user can deactivate their old account and then register a new one using the same email address. (Email addresses must be unique only across active accounts.) The user may need to contact the administrator of their previous organization to request deactivation.
-
-
Link accounts.
-
If the user needs to maintain access to both organizations, they can link the two accounts together instead of merging or deactivating.
