The Assessments Importer tool helps load student assessment data into the data warehouse and address data matching issues before the data is loaded.
You can upload one or more files in a single batch (file set) for processing into the data warehouse.
File Format

The upload file must in the right format with the correct extension (.csv, .txt).

Use a text editor (for example, Notepad++) to view the raw assessment file. Do not use Microsoft Excel.

Ensure the file has a header, or, if it does not have a header, the file needs to have a fixed width. Make sure you are using the file directly from the vendor and that there are no erroneous rows (anything that does not look like a header row) at the top of the file.

The file must have UTF-8 encoding. Notepad++ or other programs allow you to update this.

Make sure the filename has no spaces in it.
Upload a File
To upload an assessment file:

Select Applications in the Navigation tree.

Choose Assessments Importer.

On the landing page, click Upload Assessment.

Enter details for the following:
-
District: For single-district implementations, the district is automatically selected. For multi-district implementations, you can select a single district.

Assessment: The assessment for which you are importing data.
-
School Year: The school year for which you are importing data.
-
Time Period: The period for which you are importing data (for example, Fall, Spring, Winter, BOY, MOY, All).

Click Next.

On the Manage File Set screen, click-and-drag or select the assessment file you wish to upload.

The assessment file is validated against a predefined signature file when the file is loaded.

After the file completes loading and the status displays File validated, click Add to fileset.

If there is an issue with the file, an error displays. Common errors include duplicate filename, failed validation, exception, and incorrect file type.

The added file appears in a viewing panel with the following information:
-
Status: The status of the file.
-
File Name: The name of the file.
-
Rec Count: The number of records on the file.
-
Date/Time: The date/time the file was loaded.
-
Uploaded By: The username for who uploaded it.

To delete a file:
-
Select the trashcan icon on the file record, or:
-
Select the checkbox and click Delete Selected.
-

Repeat Steps 6 and 7 to add more files.

When the file set is complete, select the X to close the Manage File Set screen.
Load to Staging
After the file set is created, you are directed to the Assessments in System screen.

Locate the file set in the left view panel. Details about the file set include:

Batch name
-
Batch status. Possible statuses are:
-
Ready for Staging: File Staged to server assessment directory.
-
File queued: File is queued for ETL to pick up.
-
Loading: Assessment ETL running.
-
Needs attention: There are student or school records that could not be matched.
-
Ready to Process: File Loaded into assessment XTBLs all valid matches.
-
Processing: Build running.
-
Processing Complete: Build complete.
-
Dashboard Status Error: Catch-all error in case something unexpected occurs.

Batch Created date.
-
Map: Student-school not mapped count.
-
User: Student-school user mapped count.
-
Skipped: Student-school skipped mapped count.
-
Load: Loaded test admin count.
-
Val: Not validated test admin count.
-

If needed, click Upload if you want to load another file set or batch.

Select the hamburger menu to take actions (available actions depend on the batch status):

Manage File Set: Users can select this to make changes to the batch on the Manage file set screen.

Run Staging on Batch: Users can select this to load the data from their file set to staging. When this option is selected, the batch status updates to either Needs Attention (unresolved issues) or Ready to Process.

Run Process on Batch: After a batch has completed the Run Staging on Batch action, users can select this to load their data to the data warehouse.

Load to Data Warehouse
If the file set has a batch status of Ready to Process, you are ready to process the file into the data warehouse.

From the hamburger menu, select Run Process on Batch.

Click Yes to confirm.

While the file is processing, the status is Processing.
-
After processing completes, the status updates to Processing Complete.
