Create school associations

After adding schools to your organization's account, select the method that matches your provisioning method:

When updating users after schools have been added, include the user's school association in import files or ensure the user's school is mapped through your SIS integration. Updates that do not include school associations may not process correctly.

About school associations

A user can be associated with one school or multiple schools.

Main schools

When a user is associated with multiple schools, one school is designated as the main school.

  • For instructors, the main school is the default school used when creating courses and groups.

  • System administrators should keep the organization level as their main school to maintain organization-wide access.

Multiple school associations

Users associated with multiple schools:

    • Can review updates from all associated schools in Recent Activity.

    • Have the same role and permissions across all associated schools.

Create school associations with Manage Users

Use Manage Users to manually associate users with schools.

Associate a user with a single school

  1. From Tools, select User Management.

  2. From Manage Users, select Roles/Advanced.

  3. From Schools, select the down arrow for the user’s current school.

  4. Select a school.

  5. Click Save Changes.

Associate a user with multiple schools

  1. From Tools, select User Management.

  2. From Manage Users, select Roles/Advanced.

  3. From Schools select +Add School for the user.

  4. Choose an additional school from the list.

  5. Click the star to set a main school,

  6. Click Save Changes.

Create school associations with an import file

Use the Import tool to associate users with schools when your organization provisions users via CSV or SFTP.

Prepare the import file

If you use SFTP imports, skip exporting users and update your existing file.

Export all users in your organization to a CSV file. The file must include:

  • First name

  • Last name

  • Username or email

  • Unique ID

  • Schoology ID

  • Role

  • School

Associate users with schools

You must enter the user's primary school NID in the School column of your CSV file for each user row to assign users to the schools.

Optionally, create an additional column labeled Additional Schools. Enter additional school IDs, separated by a pipe symbol, for example 259155600 | 177663629.

Import school associations

  1. From Tools, select School Management.

  2. Select Import.

  3. From Users, select Use Import File for both the Roles and Schools settings.

  4. Map the school values in your file to the corresponding schools in Schoology.

  5. From Updating, select Update existing records using Schoology User ID.

  6. From Email Conflicts, select Don't allow duplicates.

  7. Click Continue.

  8. Match the columns.

  9. Run the import.

Create school associations using a SIS App

If you use a SIS app to provision users, sync school associations directly from your SIS.

  1. Ensure all users and courses are affiliated with the correct school within your SIS.

  2. Navigate to your Schoology SIS app from the Apps icon in the header.

  3. Select the Schools tab.

  4. Select Refresh Data.

  5. Map your SIS schools to your Schoology schools.

  6. Select Save Changes.

  7. Manually sync your SIS, or wait for the next scheduled sync to update users and courses with their new school associations.

PowerSchool SIS 25.12.0 and later

PowerSchool SIS 25.12.0 and later: When your district is on PowerSchool SIS version 25.12.0 or later, Schoology can automatically store and display multiple building associations for students, teachers, and standard staff as maintained in PowerSchool SIS. When a user is synced from PowerSchool SIS, all of their associated buildings are included and available in Schoology, including in the Roles/Advanced section of Manage Users.

For districts on earlier SIS versions, or if you need to adjust associations outside the SIS sync, you can update building associations using an import file or by editing the user manually in the Roles/Advanced section of Manage Users. Any manual changes will be overwritten the next time the SIS sync runs.
