MTSS Student Plans

Transfer status on Student Plans

You can now see if a student plan came from a transfer or if the student has moved on, using a clear badge where you already work.

What’s new

  • Transfer badges in the plan list. The Status column shows a Transferred In badge on any plan that came over through a student transfer. Plans for students who moved to another school or district show a Transferred Out badge.

  • Transfer labels in the plan header. When you open a transferred plan, the header shows the same Transferred In or Transferred Out label alongside the plan’s other key details.

  • Filter by transfer status. Filter the plan list to show only transferred-in plans, only transferred-out plans, or any combination you need.

  • Sorting. Plans are sorted by status first. Sorting by status now groups plans by transfer history: no transfer, transferred in, then transferred out.

MTSS Student Plans

MTSS Student Plans: Plan History and Deleted Items

Student Plans now tracks plan changes and lets you view deleted plans and templates without contacting Support.

Plan History

View a plan’s activity log via Actions > History, which opens in a side panel.

What the panel shows

  • A header with the student name and ID, plan name and current status

  • A list of activity, newest first

  • For each entry: what happened, who did it, and when

Events History records

  • Plan created or updated

  • Changes to plan name, start date, or end date

  • Staff members added or removed

  • Plan started, overdue, or completed

  • Plan deleted

Automatic updates, such as a plan being transferred-in or transferred-out, are labeled System. When one save changes several fields in plan properties, History shows a short summary. Select Show more to see every change.

Deleted Items

Deleted plans and templates now appear in a new Archive tab, sorted newest first with column filters.

Columns for deleted plans: student ID, student name, current district, plan name, template name, deleted by, deleted date, plan start date, and plan end date.

Columns for deleted templates: plan type, template name, deleted by, deleted date, and number of districts using it.

Viewing a deleted item

  • Select a plan or template to open it.

  • Deleted items are view-only and show a Deleted badge.

  • You can still open attachments, images, and permitted notification links.

Permissions

This release adds three permissions:

Permission

Allows users to

MTSS Student Plans - View Plan History

View student plan history

MTSS Student Plans - View Archived Plans

View deleted student plans in the Archive interface.

MTSS Student Plans - View Archived Templates

View deleted student plan templates in the Archive interface.

  • These permissions do not expand access. Users still see only the students and plans they could already see.

  • MTSS Student Plans - View Plan History and MTSS Student Plans - View Archived Plans

  • Users who have only one of the two Archive permissions see only that list.

  • District administrators can assign these permissions to any role. They are off by default for roles such as Author and Viewer.

Note:

  • History starts recording from this release. Plans changed or deleted before this release will not have a full history.

MTSS Student Plans

Student Plans notifications

Student Plans notifies you about changes to assigned plans and upcoming key dates, in-app or by email if enabled by your district.

Note: This feature is available to districts using Student Plans in the cloud. It is not available for on-premises installations.

What’s new

Get notified about the plan activity that matters

You can receive a notification when:

  • Someone adds you to a plan or removes you from one

  • Another staff member updates a plan you’re on

  • A plan is marked complete

  • A plan is deleted

  • A plan starts tomorrow, ends tomorrow, or is overdue

Only staff assigned to a plan receive its notifications. You won’t receive notifications about changes you make yourself.

Update notifications wait until editing stops

Student Plans saves as you work and sends update notifications after editing pauses usually within five minutes, or within an hour for longer editing sessions.

Edits by the same person on the same plan are grouped into one notification with their name and update time; open the plan to see details.

Daily reminders for key dates

Every day, Student Plans checks for plans that start tomorrow, end tomorrow, or are past due, and sends a reminder for each one. You receive each reminder once. Completed, deleted plans don’t generate reminders. Overdue notifications are sent only for plans that became overdue since the last successful task run, not repeatedly for every currently overdue plan.

One summary for large changes

When someone updates many plans at once, you get one summary notification instead of dozens of separate ones. By default, Student Plans sends a summary when an update affects 11 or more plans. Select the summary to open the Student Plans list and review the affected plans.

Example: Jane Doe added you to 25 Student Plans in Apple Grove Unified Schools as part of a bulk update.

Notification icon

Select the bell icon at the top of the page to open your notifications. Each notification shows who took the action, what they did, and which plan and student it concerns.

Example:
John Doe added you
Reading Support Plan for Jane Doe

Tags show whether a notification relates to Student Plans or Interventions and whether your district marked it as important. You can:

  • Show only unread notifications

  • Show only important notifications

  • Show only one notification type

  • Mark all notifications as read in one click

Clear handling of deleted plans

Notifications about deleted plans still show the plan and student names, so you know what they refer to. If you open one, you’ll see a short message that the plan is no longer available instead of an error.

District administrators set up notifications in Utility Apps > District Configuration > Notifications > Student Plans. For each notification, administrators can:

  • Turn on in-app delivery, email delivery, or both

  • Mark it as important

Staff choose their own notifications in Utility Apps > Notification Settings, on the Student Plans tab. Turn on the notifications you want and turn off the ones you don’t. District enabled notifications stay on. Your choices affect only your account.

Email notifications

When your district or you turn on email delivery, each notification arrives as a separate email. Every email includes a link to your notification settings so you can update your choices at any time. You can’t turn off mandatory notifications.

Student Plans sends emails to the address on your account. If your account has no email address, you won’t receive emails, but everything else in Student Plans works as usual. To add or update your email address, contact your district administrator.

Manage Groups

Beta Feature: Cohort Manager - Simpler Groups, Sharing, and CSV Updates

When you create a group
Student groups and user groups use similar creation workflow. Enter a group name, then add members in one of two ways:

  • Search all users: Find and select members one by one.

  • Upload user list: Upload a CSV file with the members you want. Download the .csv file template to make sure your file uses the right format.

When you edit a group
Before you upload a CSV file to an existing group, you now pick how Cohort Manager applies it:

  • Replace current members (default): The group matches the file exactly. Cohort Manager removes anyone not listed in the file.

  • Add to current members: Current members stay in the group, and Cohort Manager adds the people in the file.

Choosing first helps you avoid accidental changes to membership.

Group sharing

You choose who to share a group with, set their access level, and select Save to apply your changes.

  • Give lower access to people who only need to work with the group.

  • Give higher access to people who help maintain it.

Consistent experience across Groups and User Groups

Creating, editing, reviewing, and updating members now works the same way in both areas. User Groups follows the same steps as the rest of Cohort Manager.

Note

  • CSV uploads accept only .csv files.

  • Sharing changes take effect only after you select Save.

  • Some actions depend on your access level. If you don’t see an option you expect, your permissions or the group’s sharing rules may have changed. Contact your administrator or the group owner.

MTSS Interventions

Session Notes

Writing session notes now takes less time and effort.

  • Voice to text: Dictate notes instead of typing them.

  • Modify with AI: Refine a note you've already written. You review the suggested version before anything is saved.

UIHN-112234

MTSS Interventions

Move Students Easily

You can now move one student or several students at once to another intervention.

  • Where to find it: On the Overview page, select Move on a student’s card.

  • How it works: Withdraw the student from their current intervention, then select the intervention you want to move them to on same page.

  • See where students are active: Before you move a student, you can see which intervention they’re currently active in.

UIHN-111664

MTSS Interventions

Introducing the Check-in Page

The new Check-in page brings session logging into one place, so you can record everything for a session faster, especially if you manage more than one intervention.

  • Log everything in one place: Mark attendance, time attended, engagement (previously observation), notes, and goal scores for one student or several students at once.

  • Switch interventions from the left panel: Move between your interventions without opening new tabs.

  • Cancel a session: Cancel a session and add one cancellation note for all students. The note appears on printed reports.

UIHN-111518

MTSS Interventions

Observation Is Now Engagement

  • New name: The field that records how a student participated is now called Engagement. Observation now refers to the page where you log all actions for a session.

  • Engagement emojis: Admins can add emojis to engagement labels in Settings so teachers can recognize each option quickly during check-in. Emojis are optional and can be turned off at any time.

UIHN-111516

MTSS Interventions

Intervention Settings Library

Admins can now set up intervention settings from a ready-made library instead of creating every option manually.

  • Browse the library: On the Types page, browse ready-made Types, Subtypes, Levels (Tiers), and Enrollment and Withdrawal reasons. Users can add it in one click and then import. Users can also add the same option more than once, or duplicate an imported option and edit the copy.

  • Icons: Added six icons representing Math, ELA/Literacy, Other Academics, Attendance, Behaviour, SEL/Wellness. Users can link these icons to their types/subtypes. All the existing type/subtypes will be linked to these icons automatically.

UIHN-107796

MTSS Interventions

Classroom, Teacher Analysis Dashboard Freezes When Using School/Subject Filter

Resolved an issue where applying the required School/Subject filter on the Teacher Analysis dashboard caused it to freeze without displaying any metrics or a "no data" message.

UIHN-106910

Academics Analytics

Duplicate Rows in Standard Content Drilldowns When Multiple Staff Are Linked to a student

Fixed duplicate drilldown rows on the student detail page. When multiple staff members are linked to the same student, their names are now combined into a single, semicolon-separated entry instead of creating a duplicate row for the student.

UIHN-107017

Behavior Analytics

Student Datawall "# of Discipline Incidents" Renamed to "# of Offenses"

Renamed the measure label in Classroom and Student Analytics to "# of Offenses" for clarity, aligning the label with what the measure actually counts.

UIHN-107028

Enrollment Analytics

Student Datawall Showing Incorrect TOTAL_MEMBERSHIP_DAYS for Students with Multiple Enrollments

Fixed an issue where students with multiple enrollment records in the same year had membership days calculated from only one record instead of combining them correctly.

UIHN-111131

Attendance Analytics

Chronic Absence Levels Mismatched with Attendance Percentage Colors

Fixed an issue where a student's Chronic Absence level (e.g., Trending Chronic) didn't match the color-coded attendance percentage shown for them, causing inconsistent results when drilling into Chronic Absence data across Student Analytics, Classroom, and Educator Analytics dashboards.

UIHN-108354

Attendance Analytics

Chronic Absence Logic Misclassifying Students as "Nearly Chronic"

Fixed an issue where students with an attendance rate of exactly 90% (e.g., 18 absences out of 180 days) were being classified as "Nearly Chronic" instead of "Chronically Absent." The underlying threshold logic now correctly evaluates these students against the Chronically Absent criteria first, ensuring accurate classification across affected dashboards.
