Export data with a CSV file

Export user, course, section, enrollment, gradebook, and attendance data from Schoology as CSV files.

Schoology is optimized to process imports and exports between 7 PM and 6 AM Eastern Time or 11 PM and 10 AM Greenwich Mean Time, Monday through Sunday. For best performance, perform or schedule exports during these hours.

Before exporting, ensure the following:

  • Users should have a Unique User ID.

  • Courses should have a Course Code.

  • Sections should have a Section Code or Section School Code.

If you are using Schoology in a double-byte language (Japanese, Chinese, or Korean), you may need to change the CSV file encoding to correctly display characters.

Export users

  1. Select Tools and choose School Management.

  2. Select Export.

  3. Select Users.

  4. Select the fields to export.

  5. Select Next.

  6. Select Export.

User field descriptions

Field

Description

Schoology User ID

Unique user ID assigned by Schoology.

Unique User ID

Unique ID field in Schoology, often a student ID from the SIS.

SIS User ID

Used for organizations that imported PowerSchool Learning content only.

School NID

Unique school ID assigned by Schoology.

School Title

Name of the user's primary school.

Additional Schools

NIDs of additional schools the user is affiliated with.

Name Prefix

Honorific or prefix, such as Mr, Mrs, Dr.

First Name

User's first name.

First Name (preferred)

User's preferred first name.

Last Name

User's last name.

Role

User's role in Schoology.

Username

Username assigned by the district.

Email

User's email address.

Position/Job Title

User's position displayed on their profile.

Graduation Year

User's graduation date.

Birthday

User's birthday.

Gender

User's gender.

Bio

Bio information displayed on the user's profile.

Subjects Taught

Subjects the user teaches.

Levels Taught

Levels the user teaches.

Phone Number

User's phone number.

Website

User's website.

Interests

User's interests displayed on their profile.

Activities

User's activities displayed on their profile.

Export courses

Courses should have a Course Code, and sections should have a Section Code or Section School Code.

  1. Select Tools and choose School Management.

  2. Select Export.

  3. Select Courses.

  4. Select the grading periods associated with the courses to export. Select Select Active to choose all current grading periods.

  5. Select the courses to export. If more than 500 courses are associated with the selected grading periods, Schoology automatically exports all courses.

  6. Select the fields to export.

  7. Select Export.

Course Name

Name of the course in Schoology.

Department Code

Name of the department in Schoology.

Course Code

Code associated with the course, such as MATH-101.

Course Description

Description of the course.

Credits

Number of credits the course is worth.

Course NID

Unique ID number assigned by Schoology.

School ID

Unique school ID number assigned by Schoology.

School Title

Name of the school.

Export sections

Use the Sections tab to export your school's course sections. Courses should have a course code to export sections, and sections should have a section code or section school code in Schoology.

  1. Select Tools and choose School Management.

  2. Select Export.

  3. Select Sections.

  4. Select the grading periods associated with the sections to export. Select Select Active to choose all current grading periods.

  5. Select the sections to export. If more than 500 sections are associated with the selected grading periods, Schoology automatically exports all sections.

  6. Select the fields to export.

  7. Select Export.

Field

Description

Course Name

Name of the course in Schoology.

Course Code

Code associated with the course, such as MATH-101.

Department Code

Name of the department in Schoology.

Course Description

Description of the course.

Credits

Number of credits the course is worth.

Section Name

Name of the section in Schoology.

Section Code

Code associated with the section. Can be reused for different grading periods.

Section School Code

Unique code specific to that class, school, and term.

Section Description

Description of the section.

Location

Location of the section as listed under Information.

Meeting Days

Days the section meets, for example 1=Monday, 2=Tuesday.

Weighted Grading Categories

Number of weighted grading categories applied to the section.

Final Grading Scale ID

ID associated with the final grading scale.

School ID

Unique school ID assigned by Schoology.

School Title

Name of the school.

Section NID

Unique section ID assigned by Schoology.

Export course enrollments

Users should have a Unique User ID, courses should have a Course Code, and sections should have a Section Code or Section School Code.

Course enrollment field descriptions

Field

Description

Unique User ID

Unique ID field in Schoology, often a student ID from the SIS.

First Name

First name of the enrolled member.

Last Name

Last name of the enrolled member.

Email

Email address of the enrolled member.

Course Name

Name of the course in Schoology.

Course Code

Code associated with the course, such as MATH-101.

Section Name

Name of the section in Schoology.

Section Code

Code associated with the section. Can be reused for different grading periods.

Section School Code

Unique code specific to that class, school, and term.

SIS Section School Code

Section school code in your SIS, used for cross-listing.

Enrollment Type

1 = Admin, 2 = Member.

Status

Current status of the enrollment.

School ID

Unique school ID registered in Schoology.

School Title

Name of the school.

Export gradebook

Users should have a Unique User ID, courses should have a Course Code, and sections should have a Section Code or Section School Code. Use auto-exports when exporting gradebooks with more than 500 sections.

  1. Select Tools and choose School Management.

  2. Select Export.

  3. Select Gradebook.

  4. Choose to export by School or Individual Users.

  5. Select the grading periods. Select Select Active to choose all current grading periods.

  6. Select the sections to export.

  7. Select the fields to export.

  8. Choose Grade Items or Midterm/Final, Overall Grades.

  9. Select Export.

Grade calculation details

Factor

Behavior

Overall/Grading Period grade

Included in the report.

Hidden or unpublished materials

Included in the report as individual rows but not in Overall or Grading Period grade calculations.

Factors

Items with a factor are multiplied by that factor and included in the final score.

Weighted categories

Impact grade calculations.

Unique ID field in Schoology, often a student ID from the SIS.

Unique school ID registered in Schoology.

School Title

Name of the school.

First Name

First name of the enrolled member.

Last Name

Last name of the enrolled member.

Email

Email address of the enrolled member.

Position/Job Title

Position displayed on the member's profile.

Role

Member's role in Schoology.

Course Name

Name of the course in Schoology.

Course Code

Code associated with the course, such as MATH-101.

Department Code

Name of the department in Schoology.

Section Name

Name of the section in Schoology.

Section Code

Code associated with the section.

Section School Code

Unique code specific to that class, school, and term.

SIS Section School Code

Grading Period

Grading period associated with the graded item.

Titles

Names of the grading periods and graded items.

Due Dates

Due date for the graded item, if applicable.

Max Points

Maximum points available for the grading period or graded item.

Grades

Number of points awarded.

Letter Grades

Letter grade for the number of points awarded.

Comments

All comments per graded item.

Export attendance

The export includes marked attendance, including Absent, Late, or Excused, by course section. Present records are only included if they have attendance comments.

  1. Select Tools and choose School Management.

  2. Select Export.

  3. Select Attendance.

  4. Choose to export by School or Individual Users.

  5. Select the grading periods. Select Select Active to choose all current grading periods.

  6. Select the sections to export. Optionally, select Add date range to specify a date range.

  7. Select the attendance records to export.

  8. Select the fields to export.

  9. Select Export.
