Mark users inactive with a CSV file

Mark user accounts as inactive in bulk by importing a CSV file.

If your organization uses a student information system (SIS) integration, user accounts must be managed in both systems.

  • Deleting or inactivating a user in the SIS does not automatically make that user inactive in Schoology.

  • Users marked inactive through a CSV import may also be reactivated during a future SIS sync. Coordinate with your SIS administrator.

Considerations

  • Marking a user as inactive does not delete their data. Courses, submissions, and grades are retained.

  • Inactive users cannot log in and are not displayed in searches or course/group member lists. Administrators can restore them at any time.

  • Course administrators can view inactive course members from the Inactive tab in the course Members area.

  • After marking students inactive, parent accounts associated only with those students should also be deactivated.

Mark users inactive

Export and prepare the file

  1. Select Tools and choose School Management.

  2. Select Export.

  3. Export a user file with the fields listed above.

  4. Remove users you want to keep active. The file should only contain user accounts to mark as inactive.

If you assign graduation years, sort by Grad Year to identify users to keep or remove.

Import the file

  1. Select Tools and choose School Management.

  2. Select Import.

  3. Select Delete.

  4. Select Attach File and upload the CSV file.

  5. From Delete, select Users (Mark Inactive).

  6. Optionally, select Keep grade or attendance data to maintain user history for possible future restoration.

  7. Optionally, select Send email alert to notify affected users and their course instructors.

  8. Select Continue.

Match columns

  1. Match the Schoology User ID to the corresponding column in your file.

  2. Use the preview to confirm the match.

  3. Select Next.

Preview and confirm

  1. Confirm the correct set of users appears in the Deleted section.

  2. Select Run to complete the import.

After marking students inactive, you can also mark their associated parent accounts inactive.

Restore inactive users

  1. Select Tools and choose User Management.

  2. Select Inactive.

  3. Select the user's name.

  4. Select Select Bulk Action and choose Make Active.

  5. Optionally, select Also place user(s) back into courses and groups to re-enroll them with previous grades and attendance records.

  6. Select Save Changes.
