Import course enrollments with a CSV or XLS file

Import users into course sections using a CSV or XLS file. Course enrollment imports use course and section identifiers to enroll students and teachers in existing course sections.

Schoology is optimized to process imports and exports between 7 PM and 6 AM Eastern Time (ET) or 11 PM and 10 AM Greenwich Mean Time (GMT), Monday through Sunday.

For best performance, perform or schedule imports, exports, and bulk deletions during these hours.

The following features are not supported in courses containing more than 10,000 members:

  • Gradebook

  • Grade Setup

  • Badges

  • Mastery

  • Media Album tags

Import file requirements

The XLS or CSV file for import must contain the following fields.

Course Codes and Section School Codes are case-sensitive. If the import updates existing sections, the values in the file must exactly match the values in Schoology.

Enrollment considerations

Course and section identifiers

Course enrollment imports use Course Codes and either Section Codes or Section School Codes to identify course sections.

  • Course Codes identify courses.

  • Section Codes identify sections within a course and grading period.

  • Section School Codes uniquely identify sections across all courses, schools, and grading periods.

If your organization uses a student information system (SIS) integration to provision courses and enrollments, Course Codes and Section School Codes may be created and managed by the SIS and may not be editable in Schoology.

Enrollment types

Use Enrollment Type to determine whether users are enrolled as Members or Admins.

If all users in the file have the same enrollment type, select that type during import. If the file contains both Members and Admins, use the Enrollment Type field from the import file and select Use Import File.

Grading periods

Select the grading periods associated with the course sections in the import file. If all course sections belong to the same grading period, select that grading period during import. If the file contains course sections from multiple grading periods, include the Grading Period field in the import file and select Use Import File.

Users are enrolled in course sections, and course sections are associated with grading periods. If a section is associated with multiple grading periods, enrolling a user in that section enrolls the user in all grading periods associated with the section.

To maintain separate rosters by grading period, create separate course sections for each grading period.

Clearing enrollments

Course enrollment imports are one-way imports. The File Settings options remove existing enrollments from matching sections and replace them with the users included in the import file.

These options:

  • Affect only sections included in the import file.

  • Do not affect sections that are not included in the import.

  • Restore a user's existing content if the same user is re-enrolled in the course.

To prevent enrollments from being cleared in past sections, remove those sections from the import file before running the import.

Import course enrollments

Select file

  1. Select Tools and choose School Management.

  2. Select Import.

  3. Select Course Enrollments.

  4. Upload the CSV or XLS file.

  5. Configure enrollment type and grading period settings.

  6. Optionally, configure any File Settings.

  7. Select Preview.

Match columns

  1. Match each Schoology field to the corresponding column in the import file.

  2. Verify the mappings using the preview.

  3. Select Preview

Preview and confirm

Schoology previews the first 500 rows in the import file. [

  1. Review the results before running the import:

    • Created Course Enrollments displays new enrollments that will be created.

    • Updated Course Enrollments displays existing enrollments that will be updated.

    • Errors displays issues that must be resolved before the import can run.

  2. If errors are found, update the import file and restart the import process.

  3. When the preview is correct, select Run to complete the import.

Status Log

After the import completes, use the Status Log to review processing status and results.

The Status Log displays:

  • Import status

  • Completion time (reflects the time zone associated with your account)

  • Successful enrollments

  • Updated enrollments

  • Import errors

Select an import file name to display details. If errors occur, review the affected rows for additional information. To review all errors, download the full report.
