Parent Access Codes allow parents to self-register for Schoology at app.schology.com and automatically link to their child's account. System administrators must enable access codes in System Settings before downloading and distributing them at the district or course level. This method is appropriate if you do not currently have all of your district's parent data in a centralized directory or SIS.
After parents register for Schoology using the code, their account will automatically be associated with their child's account. Parents will be able to review all of their student’s activities, courses, groups, calendars, updates, attendance, and grades, depending on the permissions and privacy settings you have configured.
Use Parent Access Codes if you don't have centralized parent data and want families to self-register.
-
Manually associate parent and student accounts if parents and students already have Schoology accounts.
-
Import parent accounts and parent-child associations if you have parent data in a file.
-
Create parent accounts via a student information (SIS) sync if your SIS supports automatic provisioning.
Enable Parent Access Codes
Each student account has a corresponding Parent Access Code in the format: XXXX-XXXX-XXXX. Parents can use this single access code to register for their own account, which is then automatically associated with their child's account. Multiple parents or guardians can use the same Parent Access Code to set up individual parent accounts. Parents of multiple children can use one child's access code to create an account, then use the Add Child option to associate their account with additional children.
If you plan to distribute Parent Access Codes at the district level or the course level, you must first enable registration via access codes in System Settings.
-
Select Tools and choose School Management.
-
From System Settings, select Enable Parent Access Codes.
-
Set the default role for a new parent. If you only have one default role for parents, select Parent. If you have created custom roles, select another option from the list.
Download Parent Access Codes at the district level
Download access codes for all students in your district at once.
-
Select Tools and choose User Management.
-
From Manage Users, select Parents/Advisors.
-
Select Options and choose Download All.
-
From Select Role, choose Student.
-
Click Download.
Open the downloaded spreadsheet to find each child's Parent Access Code. If incorrect Parent Access Codes have been distributed, you can reset the codes and redistribute new ones.
Download Parent Access Codes at the course level
Many schools find it effective to have the homeroom teacher, or another individual in a similar role, distribute access codes to parents. Parents only need a single access code to review all of their student’s Schoology activities and courses. Multiple parents or guardians can use the same access code to set up individual parent accounts.
-
Within a course, select Members.
-
From Members, select Parent Access Codes.
-
Click Download to automatically download a CSV file containing the students' names and their corresponding Parent Access Codes.
-
Distribute the codes to parents accordingly.
