Update parents' school building association

Parents in Schoology have an account associated with their student's account. Parent account information must be updated in addition to the students' information when students move schools or leave a district. This is to accommodate parents with children at multiple schools or districts, as well as instructors who use Schoology as both a teacher and a parent.

Parent account updates must be made in the system that manages the accounts. If parent accounts are synchronized through a SIS integration, update the information in your SIS. If parent accounts are updated through Auto-Import, update the import file. If parent accounts are managed directly in Schoology, update their school building directly in Schoology.

Export parent accounts

  1. Select Tools and choose School Management.

  2. Select Export.

  3. From Users, select the following fields:

    • Schoology User ID

    • First Name

    • Last Name

    • Username

    • Email Address

    • Role (This will allow you to filter by Parent)

    • School Title

    • Additional Schools (for parents with children at multiple schools)

  4. Select Next.

  5. Choose an Export Type.

  6. Select Export.

Depending on how you manage parent information, you can export a list of current parent associations from Parents/Advisors in the Manage Users area. The export includes the building ID for each student-parent pair, allowing you to identifUpdate the CSV File

Update the file

  1. Review the exported parent accounts and identify any parent school associations that need to be updated.

  2. From the School column, enter the parent's main school associations.

  3. For parents associated with multiple schools, enter additional schools in the Additional Schools column. Separate multiple schools with a pipe (|) character.

  4. Optionally, remove rows for accounts that do not require updates to reduce import processing time.

Import the updated file

  1. Select Tools and choose School Management.

  2. Select Import.

  3. From Users, attach the updated file.

  4. Update the following settings:

    1. From Role, select Parent.

    2. From Schools, choose Use Import File to map the School field according to the values in your CSV file.

    3. From Updating, select Update existing records using Schoology User ID.

  5. Select Continue.

  6. Match each Schoology field to the corresponding column in your file.

  7. Click Continue.

  8. Use the Preview/Confirm view to check against errors.

  9. Review the import preview and select Run.
