SchoolTool integration overview

Use the Schoology SchoolTool app to provision schools, terms, users, courses, sections, and enrollments from SchoolTool to Schoology.

The SchoolTool integration uses web service APIs to keep roster data in sync and reduce duplicate data entry.

Integration requirements

Before installing and configuring the SchoolTool app:

  • Contact your SchoolTool representative to obtain your SchoolTool domain, database number, database key, and authorization token.

  • Contact your Schoology representative to enable the SchoolTool app and assist with integration onboarding.

  • Sync your Active Directory with your SchoolTool instance.

  • Work with your Schoology onboarding team to review and run the Data Prep tool before starting full provisioning syncs.

Provision data from SchoolTool

SchoolTool is the source of record for the following roster and organizational data:

  • School building information

  • Users, including staff and student accounts

  • Grading periods and terms

  • Courses

  • Sections

  • Enrollments

Changes made in SchoolTool transfer to Schoology during scheduled or manual syncs. Changes made directly in Schoology do not transfer back to SchoolTool.

Sync grades to SchoolTool

The Schoology SchoolTool app is a one-way roster provisioning integration from SchoolTool into Schoology.

  • SchoolTool provides its own assignment grade passback integration option. Contact your SchoolTool representative for setup and workflow details.

  • Graded items created in Schoology do not automatically transfer to SchoolTool through this provisioning app.

Sync options

Districts can choose one of the following sync options:

  • Manual: The Acting User manually starts syncs for users, courses, and sections from within the app.

  • Scheduled: Automated syncs run daily during a scheduled time window.

Integration limitations

  • SchoolTool does not send user accounts over the API if they have no active course enrollments. Users without enrollments (such as system administrators and advisors) must be created manually in Schoology.

  • Attendance data does not transfer from Schoology to SchoolTool.
