Sync data and grades with Aeries

After system administrators configure the app, instructors can use the same Aeries SIS app from their courses to configure grading category mappings and sync grades to Aeries. Available options depend on the user’s role and the app settings.

Map grading categories

Before syncing grades for the first time, map Schoology grading categories to Aeries grading categories.

  1. Open the course.

  2. Select Aeries SIS app.

  3. If prompted, approve access to the app.

  4. Select Configuration.

  5. Map each Schoology grading category to an Aeries grading category.

  6. Select Save Configuration.

You can map multiple Schoology grading categories to one Aeries grading category.

Create a Schoology grading category

  1. From the category list, select (Create New Schoology Category).

  2. Select Save Configuration.

The category is created in the course’s Grade Setup area.

Configure linked sections

If sections are linked in Schoology, configure each section separately.

  1. Configure the first section.

  2. Select Save Configuration.

  3. Select another section from the section list.

  4. Repeat the configuration process for each section.

Access considerations

Depending on your district's configuration, only instructors directly enrolled in a course may be able to access grade sync settings and sync grades.

System administrators may not be able to configure grade sync settings or sync grades on behalf of instructors.

Sync grades to Aeries

Sync grades whenever assignment scores or grades change.

Grade sync requirements

To sync grades:

  • The instructor must be enrolled as a Course Administrator in Schoology.

  • The instructor must be assigned to the section in Aeries.

Sync grades

  1. Open a course.

  2. Select Aeries SIS app.

  3. Select Sync Status.

  4. Review the assignments and assessments available for sync.

  5. Select Sync Grades.

Grade sync considerations

  • Schoology is the source of record for assignment scores and grade updates.

  • Changes made directly in Aeries do not update Schoology and may be overwritten during a later sync.

  • Standards-based grading passback is not supported.

  • Depending on the Aeries SIS app settings, only Course Administrators directly enrolled in the course may be able to open the app.

  • System administrators cannot configure the app or sync graded items on an instructor's behalf.

Review sync logs

System administrators can use the Logs tab in their Aeries app to review sync activity and troubleshoot issues.

Filter sync logs

  1. Open the Aeries SIS app.

  2. Select Logs.

  3. Locate an entry with warnings or errors.

  4. Expand the entry to review the error details and affected record IDs.

Common causes of sync errors include:

  • Duplicate email addresses

  • Usernames that contain spaces

  • Unmapped terms
