Manage user information and passwords

Use the Edit Users tab to update user information.

User information field descriptions

Field

Description

First Name, Middle Name, Last Name

Enter or update the user's name.

Username

Users must have a username or email address. Usernames must be unique within your school and can include letters, numbers, periods, dashes, and underscores.

Email

Users must have a username or email address. Email addresses must be unique within Schoology.

Unique ID

A unique identifier used to match user records during imports and exports. Users must have a Unique ID to be included in exports.

Personal ID

The Student Number or National ID synced from PowerSchool SIS. Available only for student accounts.

Password

Schoology generates a password when one is not provided. To reset a password, enter a new value in the Password field. Passwords are displayed as ** when users set their own passwords.

Bulk actions

Select users, and then choose an action from Select Bulk Action. To select all users, select First Name.

Send login information

Sends Schoology login instructions by email. Users must have:

  • A valid email address.

  • A visible password.

If a password displays as **, reset the password before sending login information.

Generates a PDF containing login information for selected users.

Depending on the account, the PDF includes:

    • School name, username, password, and sign-in instructions.

    • Email address, password, and sign-in instructions.

Schools using Single Sign-On (SSO) must provide SSO passwords outside of Schoology.

Set password

  1. Select the users.

  2. Select Set Password.

  3. Enter and confirm the new password.

  4. Select Submit.

Mark inactive

Inactive users:

  • Are removed from courses and groups.

  • Cannot sign in.

  • Cannot participate in Schoology.

  • Remain in the system.

To retain grade and attendance data, enable Keep grade and attendance data before marking users inactive.

Generate a PDF containing login information for users in a selected course.

  • Login information is not included for students whose passwords display as **.

  • Courses must have both a course code and a section code to be available for selection
